Ontario’s Washroom Cleaning Documentation Requirements Take Full Effect January 1, 2026 Bill 190 amended the Occupational Health and Safety Act to require employers to maintain washroom facilities in clean and sanitary condition — and to keep accessible records of cleaning activities. Since July 1, 2025: Employers must maintain cleaning records January 1, 2026: Records must be posted or made electronically accessible to workers — this requirement takes effect in days If you’re not yet compliant, you need a solution you can implement immediately.

1. Washroom cleaning activity confirmation Verification that required washroom cleaning tasks have been completed as defined by internal procedures.
2. Date and time of recent cleanings Documentation of the most recent cleaning activities to support clear record availability.
3. Location and facility identification Identification of the specific washroom or facility area associated with each cleaning record.
4. Assigned responsibility Capture of the role or individual responsible for completing the cleaning activity.
5. Record availability readiness Assessment of whether cleaning records are organized and accessible when requested.
Bill 190 introduces new expectations for workplace cleaning documentation, including washroom cleaning records. These requirements take effect January 1, 2026.
